A dynamic and fast-growing Estate Planning law firm in Acton, Massachusetts focused on serving parents with young children seeks a Client Concierge/Office Manager.
We are looking for someone committed to creating an amazing client experience and who has an ability to be a calming and comforting presence for clients during a potentially anxious time.
Your role as our Client Concierge/Office Manager will be to build relationships with our current and potential new clients via telephone and in person. You are the Creator of First Impressions and will help to make all clients, and prospects feel welcome. You will answer incoming calls, greet guests, manage mail, maintain calendars, and handle inventory. In addition, you will meet regularly with our legal team to ensure calendars and case management systems remain current. You will confirm meetings, maintain the database, create monthly reports, assist with prepping signing meeting packages, and ensure everything needed prior to any meeting is in the office and ready. You will also act as a witness for signing meetings. In addition, you will be responsible for putting together estate planning binders and mailing them to clients. This role has a lot of variety and we are looking for someone who can multi-task.
Responsibilities
- Build customer relationships with new and existing clients
- Maintain the smooth running of the office
- Ensure all files are prepped and ready for various meetings
- Prepare monthly and quarterly reports
- Answer phones, meet and greet all who enter the office (although we are virtual now)
- Miscellaneous responsibilities as they pertain to the legal team and office management
Qualifications
- 3+ years administrative and/or office management experience required
- Strong customer service skills
- Excellent proofreading skills and attention to detail
- Excellent Microsoft Office skills
- College Degree a plus
